Tabs3 & PracticeMaster Best Practices
Chances are if you are already using Tabs3 and PracticeMaster in your firm that you have been using the programs for some time now. In fact, many of our clients have been using Tabs3 or PracticeMaster for more than ten years!
In that time, your firm has probably undergone numerous changes, including the expansion of practice areas, brought on additional attorneys, or added or replaced staff. At the same time, Tabs3 and PracticeMaster has also changed, with new functions, and added functionality you may not realize exists, or understand enough about a feature to start using it.
With a complimentary web evaluation of your existing Tabs3 and PracticeMaster programs, we can help you identify areas in which your firm can run more efficiently and increase revenue.
Here are five best practices that our clients understand and use when using Tabs3 and PracticeMaster:
Capture More Revenue
Tabs3 and PracticeMaster are designed to work together while you are performing tasks that you do every day. These programs seamlessly share information about your clients, fees, and costs and make it a cinch to capture time directly from Microsoft Outlook, documents that you generate every day, the daily calendar, phone calls, meetings with your client, while away from your office and on your mobile device. Going through the calendar, phone message slips, and client e-mails at the end of the week or month is a sure way to lose 15 to 20 percent or more revenue than you could have collected.
Know Where You Stand
Capturing time as you are performing tasks is an added benefit from maintaining important information about each case or matter that you and your firm are working on. A complete and properly configured practice management system will give you access to important case notes, case facts, e-mails, critical dates from PracticeMaster, rather than retrieving the paper file or calling someone on the phone.
Know How Much You Are Owed and How Much You Made
Every business should know how much it is owed and how much was made from each case handled by the firm. You should be able to generate an accurate accounts receivable or any of the dozens of productivity and profitability reports available from directly from Tabs3 in a matter of minutes without “setting something up” in another program or reaching for a calculator.
Create an Incentive to Get Paid
You did first class work for your client, but submitting a bill for services may not always be enough. At least not in the minds of many clients who view the attorney billing statement as “something that can be paid later.” Tabs3 gives you the tools to produce timely and great looking billing statements that can be mailed or e-mailed at any time. You can even get paid by credit card, thanks to integrated credit card processing built into Tabs3. Like any business, you should expect your clients to pay you on time. Period. Tabs3 helps you do that with finance charge options that are easily managed on a client-by-client basis. There is a lot of discussion these days about legal professionals adding finance to billing statements even though many retainer agreements allow for them.
No business in the world allows a customer to purchase goods and services on a credit basis without some kind of finance charge incurred for payments that are late. In the end, our clients report that when there is an incentive to pay the bill clients will pay and many gladly pay the finance charges as well in consideration for not paying on time.
One of our clients collected an additional $100,000 of revenue in the first year of implementation from finance charges alone. That practice continues 10 years later with few reprisals from clients.
Create a Better Work Flow
PracticeMaster provides you with the tools to automate many processes that can significantly reduce time and costs spent on managing each case. From tools that automate the creation of routine documents in a matter of seconds to calendar plans and work flows that can automate the docket and create a series of next steps as each case progresses through your firm. Our clients do this every day, and with a quick phone call or web session we can show you how.
